Stallholder Details

  1. Covent Garden Events reserves the right to refuse an application.

  2. We regret that traders are not able to specify the exact location of their stand/space; however, we will attempt to be accommodating where possible.

  3. Full payment must be made once your application has been accepted. The due date for this will be within 48 hours of the application being accepted. If payment hasn't been received by the due date, your booking will be cancelled without notice. This payment is non-refundable.

  4. There is no fresh water available on-site. Traders requiring water for cooking or washing up are required to bring their own.

  5. No liquids, other than water are to be disposed of in drains. Any trader found doing so will be asked to leave site and will not be permitted to trade at future events. Any cleaning fees issued by the council will also be payable by the trader.

  6. Any traders serving alcohol are to adhere to the Challenge 25 Policy, erect posters on their stall and carry a refusal book.

  7. Stallholders are responsible for provision of fire safety equipment on their stalls. We reserve the right of inspection by the Fire Safety Officer of all stands and equipment.

  8. Please be aware that a Director of CJ's Events Warwickshire or an EHO Officer may inspect a stall at any time to ensure the safe and hygienic operation of the site and compliance with the conditions of booking and product descriptions before, during and after the event. Any directions given must be complied with immediately.

  9. The provision of food and drink is governed by Food Hygiene Regulations. It is the trader’s responsibility to comply with Environmental Health Organisations regulations.

  10. It is the trader's responsibility to ensure they display Food Allergy information on their stand. For further information please see https://www.food.gov.uk/safety-hygiene/food-allergy-and-intolerance

  11. It is the trader's responsibility to ensure that adequate and suitable hand washing facilities are provided.

  12. Traders are asked to keep their surrounding area as clean as possible throughout the event. Stallholders are responsible for the safe and responsible disposal of any waste produced by themselves. Under no circumstances may refuse of any kind be left on site. Traders leaving waste will be charged a minimum fee of £75.00.

  13. All electrical equipment must be listed on the booking form, certified and have a current PAT certificate. A copy of this certificate must be returned with the booking form and be made available for inspection at any time, before during or after the Festival. Please note that non-PAT tested equipment must not be used under any circumstances.

  14. Any events requiring power will be ordered via the CJs events office and will be available to all stands for the duration of the event.

  15. All traders must have valid public liability, product liability and employee liability insurance and a site risk assessment. Failure to produce these documents if requested will result in immediate cancellation of their booking.

  16. Traders will be liable for any damage they cause to any equipment, street furniture, council or private property at the event. No blame or liability will be passed on to CJ's Events Warwickshire or Covent Garden Quarter Businesses under any circumstances.

  17. Any trader who uses more space than they have booked will be charged at the correct rate.

  18. Warwick Street events are open to the public from 10am and close at 4pm. Traders may arrive on site at their allocated time slot only. Please note there is a maximum time limit of 45 mins for unloading. All vehicles must be moved away from the event area immediately after unloading. No stall display is to be taken down before end of trading at 4pm, and no vehicles are permitted on site outside of their allocated times.

  19. The application form is not valid unless fully completed and all the terms complied with in full.  By proceeding to payment, you agree to comply with the Covent Garden Quarter terms and conditions.

  20. We regret credits or refunds will not be given for bookings cancelled by traders under any circumstances. No refunds will be given due to inclement weather or adverse conditions.

  21. Please note traders will be accepted according to their suitability and not on a first come, first served basis. Submission of your application form does not guarantee a place at the event.
